Sharing information in a structured way means that 'pockets' of information are not lying around on people's PCs. Time is not wasted searching for the right information. There are many ways to share files effectively between your team including regular folder sharing, Windows Sharepoint Services (an online intranet site, free with Small Business Server 2003) and Microsoft Office Groove.
